Privacy notice

Island Cart Rental helps independent golf-cart rental companies organize reservations and dispatch. Each rental company controls the customer and dispatch information it enters. Felipe Media runs the software unless a customer agreement says otherwise.

Information processed

The service may keep staff names and emails, company settings, customer contact details, service addresses, reservation dates, cart numbers, driver assignments, stop order, work notes, consent records, a history of important account changes, and the amount of service used. Partner applications may include the partner’s name, email, company, website or social page, how they plan to introduce the product, accepted program rules, personal link code, companies they introduced, customer setup-payment status, partner-payment status, and whether a required tax form was received. The app does not collect government tax-identification numbers. The public demo uses made-up customers, and changes stay in the visitor’s browser.

Purpose

We use this information to receive and match reservations, plan dispatch, control staff access, prepare driver routes, track which carts are ready, support customers, limit abuse, calculate service use, review partner applications, remember which partner introduced a company, and record customer and partner payments. After someone clicks a partner link, the browser saves only that partner’s approved code for up to 30 days. It does not contain customer reservation information. To limit repeated spam on public forms, the app keeps a one-way fingerprint instead of saving the visitor’s raw network address. Do not enter credit-card information, government identification, health information, or other unnecessary private information.

Service providers

Cloudflare hosts the app and stores its records. ChatGPT provides secure sign-in information. Geoapify receives addresses and map points when a signed-in company asks for directions. Rental companies currently import Rent Centric files themselves. A future direct Rent Centric connection will require Rent Centric’s instructions and permission.

Sharing and sale

Customer information is not sold. It is shared only with rental-company staff who are allowed to see it, companies needed to run the service, another rental company after the customer agrees to a reservation referral, or when the law requires it. Product partners see only the name of a company they introduced, whether that company paid the setup fee, and whether the partner payment is waiting or paid. They cannot see customer reservations or dispatch records.

Security and access

Each company’s private records are kept separate. Staff members see only what their assigned role allows. Passwords and keys used to connect outside services stay on the server. Company owners can download their information, request access or correction, and mark records that must not be deleted because of a legal duty. The app records those decisions. Automatic permanent deletion is turned off until Felipe Media approves the final legal and business rules.
